REFUND & CANCELLATION POLICY

Refund & Cancellation Policy

This Refund & Cancellation Policy outlines the terms under which payments, cancellations, rescheduling, and refunds are managed at Port Prosperity Academy (“PPA”, “we”, “our”, “us”). By enrolling a student or using our services, you agree to the conditions described in this Policy.

01

1. General Policy Overview

Port Prosperity Academy provides tutoring and academic support services through scheduled sessions. Because our tutors reserve time specifically for each student, cancellations and refunds must be handled in a structured manner to ensure fairness and continuity of service. This Policy applies to all tutoring plans, subscription packages, assessments, and academic services offered by PPA.

02

2. Payment and Enrollment

All payments for tutoring services must be completed before sessions begin. Enrollment is confirmed only after payment is received. Fees may be paid through approved online payment methods, and all transactions are processed securely through thirdparty payment providers. Payments are considered final once processed, subject to the refund conditions outlined below.

03

3. Cancellation by Parents/Guardians

Parents or guardians may cancel scheduled tutoring sessions, but cancellations must be made within the timeframe specified below: A. Standard Cancellation Window Cancellations must be submitted at least 24 hours before the scheduled session time. Cancellations made within this window may be rescheduled without penalty. B. Late Cancellations Cancellations made less than 24 hours before the session are considered late. Late cancellations are nonrefundable and nontransferable, and the session will be marked as completed. C. NoShow Policy If a student does not attend a scheduled session and no cancellation notice is provided, the session is considered a noshow. Noshow sessions are nonrefundable and cannot be rescheduled.

04

4. Rescheduling Sessions

Parents/guardians may request to reschedule a session, provided the request is made at least 24 hours in advance. Rescheduling is subject to tutor availability. PPA will make reasonable efforts to accommodate rescheduling requests but cannot guarantee specific time slots. Repeated rescheduling may affect tutor assignment or scheduling priority.

05

5. Cancellation by Port Prosperity Academy

PPA may cancel or reschedule sessions due to tutor unavailability, emergencies, or operational requirements. In such cases, PPA will: • Provide advance notice whenever possible • Offer an alternative session time • Provide a substitute tutor when appropriate If PPA cancels a session and no suitable alternative is available, the session will be credited or refunded at the parent’s discretion.

06

6. Refund Policy

Refunds are granted only under specific conditions. Because tutoring time is reserved exclusively for each student, refunds are limited to the situations described below. A. Refunds for Service Issues If PPA is unable to deliver tutoring services due to internal issues—such as tutor unavailability, platform failure, or administrative errors without a successful effort to reschedule—parents may request a refund for the affected session(s). B. NonRefundable Fees The following are nonrefundable: • Completed sessions • Late cancellations • Noshow sessions • Administrative or assessment fees • Subscription fees after the first completed session C. Refund Processing Approved refunds will be processed through the original payment method. Refunds may take 5–10 business days depending on the payment provider.

07

7. Subscription Plans and Monthly Packages

For subscriptionbased tutoring plans: • Subscriptions renew automatically unless cancelled before the renewal date. • Cancellation stops future billing but does not refund past charges. • Sessions included in the subscription must be used within the billing cycle; unused sessions do not roll over.

08

8. Tutor Changes and Service Adjustments

PPA reserves the right to assign or reassign tutors as needed. A change in tutor does not constitute grounds for a refund unless the parent can demonstrate that the change significantly disrupts the student’s learning experience. PPA may adjust session formats, learning materials, or scheduling procedures to improve service quality.

09

9. Termination of Services

PPA may terminate tutoring services for reasons including misconduct, repeated cancellations, nonpayment, or violation of PPA policies. In such cases, refunds are not provided for unused sessions unless termination is due to PPA’s administrative decision. Parents may terminate services at any time, but refunds will follow the conditions outlined in Section 6.

10

10. Special Circumstances

Refunds or exceptions may be considered in extraordinary situations such as medical emergencies, family crises, or other significant events. Requests must be submitted in writing and accompanied by appropriate documentation. Approval is at PPA’s discretion.

11

11. Policy Updates

Port Prosperity Academy may update this Refund & Cancellation Policy periodically. Updated versions will be posted on our website with a revised effective date. Continued use of our services constitutes acceptance of the updated Policy.
